  • Turn around time always matters. This client called with a four-week lead time for their event. We were honest from the start that we'd need quick approvals, a transparent budget, and for the client to trust that we knew what we were doing and to let us do it.   • Centennial Celebration. 100 years of Delta Tau Delta at the University of Kentucky. We helped create their 90th anniversary alumni event and were honored to work with them again on their 100th, earlier this month. Events: - Keeneland Tailgate - Open House - Welcome Reception - Centennial Celebration Gala Events saw 50-300 people per event. Scope included site selection, full service planning, project management, securing vendors, registration, food & beverage planning, and more. 2.5 years of planning and we were thrilled to finally welcome guests back to Lexington!   • On this #EARTHDAY we celebrate sustainable and waste-free event trends! . . We think all events and event producers should be earth-conscious when planning, designing, and executing events. There are so many ways to do this.... but here are a few of our favorites: - evergreen items - creating items that can be used year after year to avoid waste, landfill contribution, and other issues. This could look like signage without a year, QR codes for programs (instead of printing paper programs), recycled scenic & decor, and more. - re-useable items - including re-useable or recyclable items instead of single-use plastics (such as plates, cups, etc.) helps minimize waste and items sent to the landfill. There are some beautiful compostable and recycled options available these days - especially if china isn't in the budget or feasible for your venue or event type. - favors - limit single-use items for guest favors, and instead use items that can be re-used or consumed. We also love the idea of "swag stations" where guests can select the gift or item that is most desirable to them. This prevents items being thrown away or left behind. - limit food waste - being mindful of ordering and portions to ensure there is minimal food waste. If excess food is unavoidable, try partnering with a local organization to "rescue" the food, allowing it to be given to those with food insecurities. - Refill stations - like this hydration station. This allows attendees to bring in their own bottles and refill (for free). This is a needed safety feature - especially for outdoor events in the warmer months - but also prevents waste from single-use cups and plastic bottles. - earth-friendly decor - we love swapping cut flowers for potted plants, when possible. This cuts down on waste, and doubles as a favor for guests. This is a short list, and certainly not exhaustive.   • Each client experience is different. Some clients we work with once, by nature of their event - such as milestone achievements. Some clients, we work with year after year to produce annual or recurring events. And some, we work with multiple department within the same organization to produce various events and meetings based on their needs. Each client allows us the opportunity to be creative, to problem solve, and to plan strategically for them.   • Ribbon Cutting. We love a good ribbon cutting ceremony - It’s the start of something new. We loved working with this group in Northern Kentucky on their ribbon cutting event to unveil their new regional distribution center. Scope included full service/all-inclusive planning, management, and logistics needs.   • The Night Before. The night before an event is a prime time for us. It's our last chance to close any gaps or tie up any loose ends. Our event-eve ritual looks something like this: - Review. We review timelines, site maps, logistics plans - every detail. We review it as a team and then each of us reviews it in our own way. This is to ensure we know the event inside and out, but also to talk through any possible "issues" that we might be anticipating. Any pain points, any areas we need to pay closer attention to, etc. This review is critical. - Reflect. Once we review, we reflect on the coming days ahead. We've had cases before where this night-before-routine generated adjustments we needed to make to ensure event day runs smoothly. We reflect on past issues and successes and think through those areas in relation to the upcoming event to plan for any adjustments. - Rest. We try to call it an early night! Production days, load in/strike, event days - whatever is in store, they generally result in long hours, lots of steps, and many moving parts. We try and get as much rest before so that we are at full-speed on event day.   • We LOVE going to conferences just as much as producing them. Why? - R&D - we can learn from others based on what went well, and what didn't. - Continuing Education - we attend conferences that are relevant to us with a goal of learning new things for ourselves, our business, or our clients. - Engagement - it's always fun to engage with other business owners, entrepreneurs, and event industry professionals. We attended a conference recently as a participant. We were REALLY excited for this opportunity, as it had the making to be a great networking opportunity with engaging content where we could really dig in and learn. That is not what happened. Here are our top three takeaways after leaving the experience and digesting what we saw and felt: - Communication pre-event. There was little to no communication pre-event. Not much about where to go, entrance, speaker bios or further information, meals, networking opportunities. There was the typical vague agenda posted on the website, but we needed more. - Signage & Wayfinding. There was not a SINGLE directional sign. We were in a VERY large facility where multiple conferences were happening simultaneously. We had NO idea where to go and had to wander around until we found the right ballroom. Once we did find our spot, the conference didn't have any signage for breakout rooms, general session rooms, meals, etc. The program had a very vague map which almost made it more confusing. - Breaks. There wasn't a single minute scheduled for a break. Each block rolled right into the other. If you've never been to a conference before - sometimes things run over. Q&A is good and runs long, there's a small tech glitch that causes a couple-minute delay to the start.... you have to have buffer time. No scheduled breaks meant you had to miss content to go to the bathroom, leave one session early to get to another, and it left you feeling exhausted and over-run by the end of the day. We didn't leave this conference feeling as excited as when we arrived. While we did make some good connections, and heard some engaging content - the rest left a lot to be desired. We did, however, learn a lot first-hand of what not to do when creating these experiences for our clients. We are calling that a win.   • Still excited looking at these photos from an SKO in February for one of our clients. So many special touches throughout - they gave us a theme and you KNOW we love a good theme. We ran with it! The custom fabrication (chandelier) over the stage was the perfect “un” branded piece to set off the room. It was 9feet wide and 11 feet tall. (Thanks to Nimlok Kentucky and Alisa Rose for knocking this out of the park!) We also created a custom scent to fill the hallways, common area spaces, and event rooms. As soon as you got off of the elevators, you were immediately experiencing the event in a subtle way.     Awards Banquet + Reception. This was part of a multi-day sales kick off in Cincinnati in February. We loved bringing in their branding, logos, and colors throughout this event. This client and their guests were so fun to work with! Scope included: site selection, vendor procurement, decor/aesthetic planning, branding/design, full service planning, on-site management, logistics management, food & beverage planning, and more! This event saw 400~ guests for the awards reception. Things we loved: - Custom fabrication from Nimlok Kentucky - Champagne markers that served as escort cards and guest gifts - Custom scent to fill the halls and common area space. It set the tone as soon as you hit the event floor! - Stage scenic that included carefully branded pieces Venue: Hilton Cincinnati Netherland Plaza #EventProducer #SalesKickOff #KentuckyEventCo #LexingtonEventCo #GlobalEventProduction #MultiDayEvent

  • A good plan takes time to execute. We often get asked "is there enough time to pull off this event". Typically, yes. With the right budget and quick decisions - we can pull off an event in short order. BUT - more lead time allows for more meaningful planning. It allows you to curate the experience and it allows you to check all the boxes. When should you start planning an event?
